Vylan is practice software for small Canadian accounting firms. It holds your clients, the jobs you are doing for them, the documents those jobs need, and the money at the end — so the day's work happens in one place rather than across a folder structure, a signature tool, a billing tool and a mailbox full of chasing.

It started as the part that eats a week and bills nothing: getting paperwork out of clients. That is still the heart of it, and there is now considerably more around it.

What it holds

  • Your Clients — who they are, who works on them, how they are related to each other, and everything you have ever filed for them.
  • Your Work — every task the firm owes, across every client, in one list rather than one list per person.
  • Your Engagements — one job for one client, built from a template so the checklist fills itself in.
  • Automations — the running order of a job, set up once, so it collects, chases, bills and hands over on its own.
  • Time — one timer and a way to write down hours, so you can see what a client actually costs you.
  • Billing — invoices with Canadian sales tax, sent from Vylan, paid by card, chased automatically until they are.

The basic loop

  1. You create an engagement: one piece of work for one client, like a personal tax return.
  2. You pick a template, which fills in the document checklist and the flow the job will follow.
  3. You send it. Your client gets an email with a private link.
  4. Your client uploads their documents. No password, no account.
  5. Vylan checks each upload and tells you if something looks wrong.
  6. You approve what is good, reject what is not, and Vylan asks the client again.
  7. When everything is in, you do the actual work, send it back, and get paid.

Most of those steps can run without you. That is what an automation is: the same loop, with Vylan doing the parts that are procedure rather than judgement.

Who it is for

Small accounting and bookkeeping firms in Quebec and the rest of Canada. It works for a firm of one and for a firm with a handful of people. If you have teammates, you can turn on team mode, give people roles, and assign work between you.

It works in English and French

The whole product is bilingual, including the emails your clients receive. You choose your own language in your settings, and each client is contacted in theirs. The two are independent, so you can work in English while your client hears from Vylan in French.
