When a stage moves on
Every stage has one exit condition — the thing that has to be true before the job goes forward — and Vylan only offers the conditions that make sense for that kind of stage.
The point of a flow is that nobody has to notice a job is ready. Each stage carries one condition under Moves on when: — the thing that has to become true — and Vylan watches for it.
Only what could actually end this stage
The conditions on offer depend on the kind of stage, and that is deliberate. A preparation stage cannot be waiting for an invoice to be paid, because there is no invoice at that point in the job — the billing happens at a different stage entirely. Offering it would be offering an answer that could never come true.
So each kind offers what could genuinely end it:
- Document collection and review — All documents are verified.
- Signature — Everyone has signed, or The signature request goes out if sending it is all this step was for.
- Payment — The invoice is paid, or The invoice is sent when you bill and carry on rather than bill and wait.
- Proposal — the client accepts.
- Questionnaire — the answers come back.
Two conditions are offered on every stage, because they always make sense: All stage tasks are checked off — that step's own to-dos are done — and You move it yourself, for a step that ends when a human says so and nothing else.
Review offers documents-verified as well as tasks, because a review commonly ends on the file being checked rather than on a list being ticked.
Automatic, or ask first
Once the condition is true, a stage set to Automatic moves on by itself. One set to Ask me to confirm waits and asks — the condition is met, do you agree it should go forward?
Confirm is for the steps where being right matters more than being quick. A job leaving review is the usual candidate: the documents are verified, but somebody should still say yes.
Moving a job by hand
You can always move a job yourself, whatever a stage is waiting for. The condition is what Vylan watches so you do not have to — not a lock on your own judgement.
