Vydo — from first enquiry to signed engagement
Vydo will run the part of the business that happens before a client is a client: capturing enquiries, following up on their own, booking the meeting, letting a prospect choose their services, and turning an acceptance into a live engagement automatically.
Vydo is not built yet. This page describes what it is being built to do. There is nothing to turn on in your account today, and nothing on this page is a button you can go and find.
The problem it is for
Vylan currently starts at the moment somebody is already your client. Everything before that — the enquiry that came through your website, the one you meant to reply to on Tuesday, the quote you wrote out by hand, the follow-up you never sent — happens in an inbox and a notebook.
That gap is where most of the lost work is. Not lost to a competitor with better software; lost to nobody, because a message sat unanswered for nine days.
Capturing the enquiry
Vydo will give your firm an enquiry form that lives on your own site or on a page Vylan hosts for you. A prospect will say who they are, what kind of work they need and roughly what size they are, and that becomes a lead in Vylan the moment they hit send — in English or French, the same way everything else in the product works.
Leads will also be enterable by hand, because a good half of them will arrive by phone or from somebody you met, and a pipeline that only holds web enquiries is a pipeline nobody trusts.
Following up without remembering to
Each lead will sit at a stage — new, contacted, meeting booked, proposal sent, won, lost — and each stage will be able to carry a follow-up sequence: a short series of emails, on a schedule you set, written once and sent in the prospect's language.
The sequence will stop on its own the moment it should: when they reply, when they book, when they accept, or when you move the lead yourself. Follow-up that keeps arriving after someone has already said yes is worse than no follow-up.
Booking the meeting
A prospect will be able to book a time from your real availability rather than being asked to suggest three. Vylan already connects to Google Calendar for the agenda on your dashboard, and that is the connection this will use — so a booked meeting shows up where the rest of your day already is.
Letting them choose the work
This is the part that makes the rest of it worth building. Instead of writing a quote by hand, you will send a prospect a menu of the services your firm actually offers — the same service list Vylan already prices your engagements from — and let them choose.
They will see what each service covers and what it costs, pick the ones they want, and see the total before they agree to anything. A prospect who has chosen their own scope arrives at the first meeting having already read it, and the conversation starts somewhere better than the beginning.
Acceptance, and what happens the second after
When a prospect accepts, Vydo will build the proposal from what they chose and hand it straight to the machinery you have already set up. This is the whole point of it living inside Vylan rather than beside it:
- The prospect accepts the services they picked.
- A proposal is drawn up from those services and their prices — no re-typing, because the prices came from your own service list.
- On acceptance, the lead becomes a client and the engagement is created from the engagement template that matches the work.
- The template's automated flow starts on its own: the document request goes out, the engagement letter is sent for signature, the deposit invoice is raised — whatever that flow is set up to do.
The intent is that the distance between a prospect saying yes and their first document request landing in their inbox is zero, and that nobody in your firm has to type the same eight facts a third time.
What it will not be
Vydo is not a general-purpose sales CRM, and it will not try to be. It will hold the path from enquiry to signed engagement for an accounting firm, and it will hand off to the rest of Vylan the moment that path ends. Anything past acceptance is already built.
The far end of this already exists and is worth setting up now, because Vydo will feed straight into it: engagement templates and automated flows are what a won lead will be handed to.
